POSITION:  Information and Referral Aide/NF-0304-02                                        SALARY RANGE:  $17.50 -18.50/PH

 

EMPLOYMENT CATEGORY: Full Time (Scheduled to work 35-40 hours weekly. May be required to work weekends, holidays, and rotating shifts. Eligible for ALL group benefits.)

DUTIES: Serves as member of the Work Family Life Staff team. Promotes communication and harmony among all FFSC branches and staff. Fully supports FFSC mission and goals as established by higher authority. Is actively involved in cross training between services within this division and with the center. Direct Service Duties 80% - In conjunction with the Information Receptionist, receives all inquiries made to the FFSC via telephone, walk-in, and written correspondence. Routes calls and directs customers to appropriate service, program, and staff member as need in a timely and accurate manner. Takes messages when necessary and provides accurate information. Establishes and maintains a comprehensive and current file of information on all military resources, civilian community agencies, organizations and voluntary services. Compiles, organizes and consolidates pertinent information on area agencies. Maintains a network of contacts within the community. Data maintained includes but is not limited to, areas of service such as mental health provider; recreation and social agencies; parenting resources including adoption; education services; leisure resources; local state and federal agencies; DON and DOD programs and activities. Researches resources available on and off base by contacting providers and documenting services, evaluates request from customers by interviewing them, and analyzes the effectiveness of services provided through follow up with clients and customers. Type of research is personal interview and basis for analysis is subjective customer satisfaction. Maintains resource materials such as website listings, brochures, maps, directories, publications, and list of smart phone apps. Sorts, catalogues and organizes resources for easy retrieval for clients and staff. Develops handouts for client use regarding frequently asked information. Ensures critical items are on-hand items at all times. Maintains and submits statistics on I & R contacts via the FFSC Management Information system. Publicizes  FFSC activates, quality of life programs, services provided , and various human service current issues and benefits via newsletter/calendar of events and flyers. Gathers information from staff and community resources. Independently prepares calendar of monthly events following Marketing Meeting input or marketing request by staff. Program Presentation 10% - Incumbent formulates, coordinates, administers and presents workshops, presentation, General Military Training and FFSC overviews relative to I & R services and military and civilian resources. Attends seminars, meetings, conferences, etc. to coordinate action, exchange information, and discuss evolving programs; speaks before private/public groups/associations etc. to market FFSC programs. Additional Related Duties 10% - Originates and implements an I & R training plan to train new staff and volunteers on how to correctly provide information to customers and the appropriate legal referral resources available. This involves a review of services, what to refer and when, proper procedures for providing information and follow up. Maintains organization of office supply storeroom; identifying needs and submitting purchase request to FFSC Director. Performs other collateral duties and tasks as assigned.

 

 

PHYSICAL EFFORT AND WORKING CONDITIONS  Most work is done in an office setting necessitating some standing, walking, sitting, stooping and driving. There are no unusual demands required by this position. Some work will be conducted in conference rooms of varying sizes or off site at other offices or meeting rooms within the local commuting area. Occasional travel to conferences or trainings may be necessary.

 

 

MINIMUM QUALIFICATIONS:   Must have knowledge of social, community, military, mental health, nonprofit, DON, and DOD resources in order to establish and maintain a comprehensive I & R component of FFSC. Practical knowledge of interviewing techniques is needed to obtain relevant information from clients experiencing unusual stress, trauma, or transition. Demonstrated skill and sound judgement in counseling individuals concerning difficulties encounter and assisting them in overcoming situations and obstacles. Incumbent must be able to communicate effectively both verbal and in writing; possess the ability to work with diverse groups and possess the ability to establish and maintain effective relationships at all levels; possess a working knowledge of the military chain-of-command- and familiarity with Navy terminology and military lifestyles pertinent to aviation training. Must possess the ability to present information/briefs/workshops ensuring objectives are met and content is provided in a professional, concise, and effective manner to avoid delays or cancellations. Knowledge of the FFSC administrative requirements including I & R resource directory, statically reporting, administrative formats for publicity submission, and high level of skill in the area of coordination, both internally and externally. Incumbent must be able to effectively use Microsoft Office including Word, Publisher, and Power Point

 

 

 

 

 

 

 

 

NOTE:  As a condition of employment, selectee(s) will be required to participate in the Direct Deposit/Electronic Funds Transfer within the first 60 days of employment.
